1. Your Details

In this section, please provide your name, email address, phone number, and date of birth. If you are applying on behalf of a company, this information should typically belong to one of the directors or business owners. For sole traders, simply enter your own personal details.

Company/Trading Name: Enter your company or trading name here. If you are a sole trader and don’t have a trading or company name just leave blank or enter T/A [Your Name]

2. Your Vehicles

In this section, enter the total monthly spend on diesel and petrol for all your vehicles combined. Next, specify the number and types of vehicles you have.

3. Fuel Cards

In this section, you’ll need to select the fuel cards you want and choose what information should appear on them.

  • Text to be Embossed on Your Cards: Enter the text you’d like to appear on the card. This is usually the company name and must be no more than 16 characters, including spaces.

  • Fuel Card Type: Choose your preferred fuel card from the list. We recommend the UK Fuels card, as it offers the lowest prices and the widest coverage, with access to over 4,500 sites. If you are unsure of which card would be best for your business then follow this tutorial on how to use our E-Route App. You can select any card you prefer, or even apply for multiple types. For instance, if you have three vehicles and want each to hold both a UK Fuels and a Shell card, you would need to apply for three of each card type (3 UK Fuels cards and 3 Shell cards). There is no fee for additional cards. If you’re unsure which to choose, select “unsure” and our team will help you find the best card for your business. You can also use the e route app below to help you find the best card for your business.

  • Fuel Card Fuel: Select whether you want your cards to be used for diesel only, or for both diesel and petrol. Please note, cards that allow both fuel types will offer discounts on diesel, while petrol will be charged at the pump price.

  • Fuel Card Vehicle: Indicate which vehicle the fuel card is for.

  • Driver Name,VRN or Card Number: You can label each card with the driver’s name, vehicle registration number (VRN), or a card number. This helps with your internal administration and makes it easy to associate each card with a specific driver or vehicle.
 
4. Business Details

In this section, please provide your business information:

  • Company Name or Trading Name: Enter your registered company name or trading name. If you are a sole trader without a business name, enter “T/A [Your Name].”

  • Company Type: Select your company type from the options provided. Once chosen, the relevant fields for your business type will appear.

  • VAT Number: If you are VAT registered, enter your VAT number here. If not, simply leave this field blank.

5. Direct Debit

In this section, please provide the direct debit details for the account from which you would like your fuel payments to be taken.

  • Set Up Direct Debit: Make sure to tick this box to authorise us to process your application and set up a direct debit for you.

  • Terms & Conditions: You’ll need to tick this box to agree to our Terms & Conditions, which is required to set up your direct debit. There is a link provided if you’d like to review the Terms & Conditions.

Please note, there are no fees charged by us at any stage. These details will only be used to collect payment for your fuel purchases after invoices are issued.

Introducing our fuel station locator app – a convenient tool to help you find participating fuel stations for your fuel card. This app makes it easy for you to search your area or common routes to locate suitable stations.

Station Finder (Left Column)

You can customise your search by ticking the ‘Near Location‘ box and then entering a specific postcode, city or address.

Alternatively you can tick the “Along Route” box and input your starting point and destination to find participating locations on your journey.

Search by Network (Right Column)

For the best results, uncheck certain options on the right-hand column, such as:

  • Fast Fuel Texaco (all Texaco stations are included under UK Fuels)
  • AdBlue Advantage
  • UK Fuels – HVO
  • Any other brands you’re not interested in.

 

When ready, simply click “Search” or “Go” to display the available stations for your fuel card.

Keep in mind that many Shell, BP, and Esso garages accept the UK Fuels card, so try unchecking these brands to see if they’re available to UK Fuel card holders.

The cashier will swipe your card and ask you to either enter your four-digit PIN or sign for the transaction—sometimes, both. In some cases, the cashier may also request your vehicle registration number and mileage for additional validation. Once completed, the transaction will be logged on your account and included in your next weekly invoice, making payment and tracking simple and efficient.
